Choosing a business phone system in 2026: a buyer's field guide

Phone system purchases go wrong when the buyer starts from a feature checklist instead of from how the business answers calls. Every vendor has queues, IVR and voicemail. The real differences are operational: who changes the call flow, how fast, and what happens when something breaks at 9 a.m. on Monday.
The three questions that decide it
- Who administers it? If the answer is 'whoever is nearest', you want a system where changes are a browser form, not a dial plan file.
- What must it integrate with? CRM logging and calendar-aware routing eliminate more manual work than any handset feature.
- What is your call volume shape? Steady office traffic, seasonal spikes and outbound campaigns point to different pricing models.
Where each option fits
- On-premise PBX: you have telecom staff, strict data-locality rules, or heavy existing hardware investment. Otherwise the maintenance burden outweighs the control.
- Hosted seats: predictable per-user pricing for ordinary office calling. Watch the per-minute rates hiding behind the seat price.
- API-first platform: your phone system is part of your product or process, you want AI on calls, or your call volume justifies negotiated rates.
Migration is easier than vendors imply
